What is a Virtual Design Assistant?
A Virtual Design Assistant (VDA) is skilled in Interior Design and has experience working in the industry. Some of our Design Assistants work on admin and procurement tasks, while others are talented renderers and knowledgable about construction documents. There are some unicorns that can do it all! All of the our VDAs are trained in Interior Design, either in school or with equivalent years of experience working under a Designer. They are able to collaborate remotely with Interior Designers, offering a range of specialized services that complement and enhance the Design Firm’s design process and workflow.
We have the expectation that, when VDAs start working with a Design Firms, they are becoming a valuable partner. They will pick up the slack wherever it is needed. They make sure the Design Firm can rely on them to recognize what needs to be done and execute.
That doesn’t mean that our VDAs are working around the clock. They are available to the Designer and transparent with them when they are not available. In this type of relationship, the Designer is going to recognize that the VDA can handle things and will want them to stay long term.
Virtual Design Assistant Responsibilities: What You Can Expect
Our VDAs hold the complex machinery of interior design projects together. While responsibilities vary depending on the Design Firm's needs, here are common roles that most Virtual Design Assistants undertake:
1. Admin
Assist in implementing new processes and procedures
Send client updates
Schedule meetings for the Lead Designer
2. Concept Boards, Mood Boards
Conduct in-depth design research
Assist in mood board and concept creation
Source key elements that complement the design vision
3. Sourcing & Client Presentations
Source materials, furnishings, lighting and accessories
Gather quotes and proposals from vendors
Check stock and lead times
Ship samples to the Design Firm to prepare presentation-ready material boards
Add all sourced items to Client Presentations using Canva or Adobe Suite
4. Create Proposals
Use the Designer’s preferred project management software- ie. Studio Designer, Design Files, Mydoma, Houzz Pro
Inquire about wholesale pricing, add Designer’s margin, tax and shipping costs to all proposals
5. Revisions
Re-source items that are either out of stock or need a different design direction
Update all client presentations and proposals
6. Ordering and Tracking
Obtain quotes, lead times, and shipping details
Oversee procurement and delivery schedules
Track the shipment and delivery of all items using project management software or spreadsheets
Coordinate with receiving warehouse to ensure all items are inspected for damage
7. Be the Glue of an Design Team
Manage emails, schedules, and documentation
Oversee budget and expenses
8. Act as the Client Whisperer
Gather client preferences and feedback
Keep clients informed and engaged
9. Showcase Software Savvy
Excel in Mydoma, CAD, Adobe Creative Suite, and more
Produce high-quality design visualizations
10. Have an Eye for Detail
Ensure accuracy in all design documents
Maintain high quality and attention to detail
11. Be a Marketing Maven
Update designer portfolios and websites after every completed project
